RentHQ — a prospecting system built for rental agencies
RentHQ
Founding 10 · first ten agencies

Prospecting that builds your portfolio.

Attract landlord leads on autopilot. Set it up once, then focus on the leads coming in.

Nothing to write. Nothing to design. Once-off brand set-up. Reusable resources.

See the whole system demonstrated end to end. Ninety minutes, chaptered, free.

Not sure whether it fits your agency?

Problem 1

You only prospect when you need a deal.

You are flat out with viewings, applications and inspections, so prospecting stops. Then the properties let, and you are wondering where next month's income is coming from. By the time the pipeline is empty you are already months behind — because a pipeline takes months to build.

Find stock before you need it. Consistent means weekly, not when you run dry. A system does not spike and it does not go quiet. It just runs.

Graph showing rentable stock and prospecting activity moving in opposite cycles: stock is high so prospecting stops, stock runs down, stock is gone, then prospecting peaks again.
Stock is high, so prospecting stops. Stock runs down. Stock is gone. Then prospecting peaks — months too late.

“You need the time, or you need the tools.”

There is no third option, and almost nobody has the time.

How it works

From a helpful handout to a landlord relationship.

Consent is built into the page itself — captured at the moment they hand over their details, not assumed afterwards. And every month, it runs again.

Five-step flow: Promote your landlord guide, Capture the details on your page, record POPIA Consent, Grow your own database, Nurture with monthly newsletters — repeating every month.
One system · everything already built

Nothing to write. Nothing to design.

You personalise it and you send it. That is the whole job.

Landlord guides that attract prospects

Content that brings landlords to you, already written and ready to put your name on.

Fifteen ready today

Ready-made landing pages

Built for rental agencies, so you are capturing landlord leads from day one instead of briefing a web designer.

Six ready today

Monthly landlord newsletters

Already written every month. Personalise it, add your call to action, send it to your list.

Fifteen ready today

Prospects added automatically

New enquiries land on the right list without anyone remembering to do it. Fewer leads lost to admin.

POPIA compliant and CPA-ready

Compliance built into the system rather than bolted on afterwards, so your list stays clean as it grows.

Owner-level visibility across every list

You see all of it. The business carries the risk, so the business gets the oversight.

Lead magnets Landing pages Newsletters Social sharing Automation Team accounts

Useful enough to keep. Branded so they call you.

Not a brochure about your agency. A guide about the thing the landlord is actually worried about — the deposit about to become a dispute, the tenant who wants to install solar, the certificate nobody asked for until it mattered.

  • Opens with the landlord's problem, not with us
  • Teaches enough to be genuinely worth keeping
  • Your logo, your name, your contact details
  • Ends with a clear reason to phone you
Two real landlord guides shown as examples, with a list of how every one is built: opens with the landlord's problem, teaches enough to be worth keeping, carries your logo and contact details, and ends with a clear reason to phone you.

“It's a free guide. The cost is their email address.”

And the landing page behind it is built to capture, not to browse. One page, one job — the enquiry lands on your list with the date and the page it came from.

Six pages ready today, each with its own lead magnet.

Fifteen newsletters written, and a new one every month.

Ninety minutes, chaptered, and every one of these built in front of you.

Make it your own

We give you the template. You make it yours.

See how you make it yours

Your branding, not ours

Logo, colours, fonts. What we hand you is built one way, because we cannot build it for every brand in the country.

Head office rules come first

If your group supplies artwork, colours or approved wording, swap ours out for theirs. Nothing here overrides your brand guide.

Edit the words, not just the look

Change the copy, cut a section, add your own. It goes out under your name, so it should sound like you.

Where to start

Brand one sheet properly and use it as the pattern for the rest. Do not try to do all of them on day one.

Solo, team or full office

Your whole team — each with their own mailing list.

Every agent works their own list and sees only their own. No cross-pollination, no arguments over who owns a lead. Whatever the size of the business, everyone is catered for.

See how it works across a team
  • Contacts owned at business level, not by the individual agent
  • Assign portions of the list by suburb, area or campaign
  • Grant and withdraw access as your team changes
  • A central view of everything going out under your brand
  • One consent and unsubscribe record for the whole business

“One registration. Your whole team.”

Comparison of today versus a RentHQ Teams plan: today one registration never reaches the agents' four separate databases, while on Teams every list sits inside the business and one monthly cleanse covers all users.
Today: one registration, four databases it never touches. On Teams: one registration, one cleanse, every list inside the business.
Included in every package

Set it up once. Share it over and over.

Facebook, Instagram, LinkedIn, TikTok, YouTube, Pinterest, Threads and Google Business Profile — connected once, inside RentHQ. Write once and post everywhere: text, image or video, hashtags, a first comment, and a built-in link shortener for the landing page you just built.

See what you can do with it

Schedule it, repeat it every Monday, or send it to your principal for approval before it goes out. No second subscription to a scheduling tool.

“You can go into places you can't normally go — because you are sharing something helpful.”

Most community and area groups ban advertising outright. A genuinely useful landlord guide is not an advert, which is how it gets in where a listing never would.

And the part nobody enjoys

POPIA and the new CPA rules, handled in the background.

The Consumer Protection Act Amendment Regulations have been in force since 15 April 2026 and the NCC opt-out registry is live. Registration as a direct marketer is compulsory, only a company can hold one, and the database has to be cleansed against that registry every month.

See what that means in practice
  • Consent captured on the page itself, with the date and the page it came from
  • One database for the business, not a separate list in every agent's inbox
  • One monthly cleanse instead of five, and one unsubscribe record
The new CPA rules summarised: consent at the point of capture under POPIA, registration as a direct marketer with the NCC, and a monthly cleanse against the opt-out registry.

RentHQ does not make anyone compliant, and nobody honest will tell you otherwise. The registration stays yours to hold and the cleanse stays yours to run. What it does is put the mechanism in one place, so the job takes minutes instead of being one nobody ever gets to.

What it actually saves

R2,400 once. Not R2,400 per agent.

Registering as a direct marketer costs R2,400 a year. If each of your five agents had to register separately that would be R12,000 — except they cannot register at all, because the form needs a CIPC number.

R2,400One agency registration
R12,000If five agents could each register
OneCleanse, covering everybody

The agency registers once and the agents market under it, with each agent's list walled off from the others. One registration. One cleanse. One unsubscribe record.

Founding 10

Let's build a plan that fits your business.

Team and Solo are the standard plans, but everyone is different — so book a scoping call and we will build a plan that works for your business, then get the ball rolling.

Ten founding accounts, at pricing that will not be repeated.

From R999 a month.Every plan carries all the tools. What you pay depends on the size of your team and what you need it to do.

Solo

R999 per month · founding rate Standard R1,499
  • 1–2 users · 5,000 emails a month
  • All fifteen landlord guides
  • All six landing pages
  • The monthly landlord newsletter
  • Contacts, email and lead capture
  • Social planning and scheduling
Start on Solo

Teams

R1,499 per month · founding rate Standard R1,999
  • Up to 5 users · 30,000 emails a month
  • Everything in Solo
  • Contacts owned at business level
  • Assign the list by suburb, area or campaign
  • Grant and withdraw access as the team changes
  • One consent and unsubscribe record
Start on Teams

What "founding" actually means

  • A founding rate below the standard price of the day, agreed when we scope your plan
  • Held for as long as you remain a founding member — not twelve months, not an introductory rate
  • You can move up later, but the founding rate attaches to the package you take now
  • One honest exception: email volume cost tracks our provider's pricing. Everything else is held.

The time to take action is NOW — every day you delay costs you leads.

Before you ask

The questions we get most.

We have more than five agents. What then?

That is exactly what the scoping call is for. We size it against how your lists actually sit today and build a plan around it, rather than squeezing you into a tier that was not written for your business.

Can the office see what an individual agent is sending?

Contacts are held at business level. You can assign lists by suburb, area or campaign, or let agents build their own — and either way it sits inside the business, where you can see it and where one cleanse covers all of it.

Do we have to use your branding?

No. Logo, colours, fonts and the wording itself are all yours to change. If your group has a brand guide, that wins.

Is WhatsApp or SMS included?

Not in the founding packages, on purpose — get the core running first, then add the channels. Both are possible as add-ons. WhatsApp runs on Meta's official API, which means a dedicated agency number rather than your own, approved templates rather than free typing, and a per-message cost. We would rather say that plainly now than have you arrive expecting something you cannot have.

Can an individual agent register with the NCC?

Not at present. The form requires a CIPC registration number and director details, so it has to be the agency. There is talk of it changing; there is no date.

Does RentHQ make us compliant?

No. It puts consent capture, one database and the monthly cleanse in one place so the work is doable. The registration and the cleanse remain your responsibility.

What happens after the first ten?

New clients join at the standard price of the day. Founding members keep their rate for as long as they stay.
